How to take the repetitive work off your clinic's front desk

Most front-desk time goes on the same few questions and tasks. Here is how to find them, answer them once, and let your receptionist focus on patients in the room.

Ask a clinic receptionist what takes up their day and the answer is rarely the patients in front of them. It is the phone, the WhatsApp messages and the reminders. Most of that work repeats.

Step 1: write down what gets asked

For one week, keep a tally next to the phone. In most clinics the list is short: timings, fees, whether the doctor is in today, directions, parking, what to bring, and "can I get an appointment". Those few questions are most of the calls.

Step 2: answer them once, in writing

Put the answers on your Google Business Profile, your website and a WhatsApp quick reply. Patients who read them do not need to call. Our guide to what patients look for on a doctor's website covers the essentials.

Step 3: move booking off the phone

Every booking taken by phone is a few minutes of the receptionist's time. Online and WhatsApp booking into the same calendar moves most of them elsewhere. See online vs phone booking.

Step 4: automate reminders and recalls

Reminder calls are the task that gets dropped on a busy day, and no-shows follow. WhatsApp reminders sent automatically do not get dropped.

Step 5: give the phone something that answers

Even with all of the above, the phone keeps ringing during OPD. An AI receptionist answers those calls in the patient's language, books the slot and passes anything unusual to your team with the transcript. Your receptionist keeps the counter, the payments and the judgement calls.

Check what it is worth

The front desk cost calculator shows how many hours a week your phone goes unanswered, and the missed call calculator puts a rupee figure on those calls.
